Role profile

The Operations team is responsible for the daily operation and visitor experience of V&A Dundee. Functions of the department include, building and facilities management, security, events, cleaning, visitor experience, retail and catering.

Working as part of the Facilities Team within the wider Operations team, the Facilities Assistant reports to the Facilities Manager and will assist in the operation, maintenance, safety and security of V&A Dundee and its many functions.

A high degree of flexibility will be key to this role. We seek an organised and enthusiastic individual who must enjoy working in a fast-paced, collaborative environment.

Duties and Responsibilities

  • Help and carry out both reactive and scheduled work (Planned Preventative Maintenance (PPM)) to maintain the site to the highest standard.

  • To complete daily facilities and health and safety checklists, reporting issues to the Facilities or Duty Manager or Head of Building Operations and liaising with Dundee City Council to ensure the appropriate contractor is used.

  • To identify and undertake general maintenance and janitorial tasks including any function that promotes the smooth running of the facility.

  • Carry out weekly testing of life safety systems, and systems that our visitors use. (such as fire alarms, door controls, pull cords, fire extinguishers, etc).

  • To support the development of and entry of items into the asset register and updating as necessary with relevant information.

  • To assist with the planning and organisation of maintenance contractors, enabling access and escort contractors around the premises, completing Maintenance and contractor logs as required.

  • To ensure that external grounds are kept clean, tidy and safe. That main pathways and entrances are cleared and safe in inclement weather conditions.

  • Cleaning of specialist areas on an ad hoc and scheduled timescale, such as water features and wall slats.

  • Oversee waste management, ensuring the bin store is kept in good order and is clean. Arranging uplift of ad hoc waste, confidential waste and special waste.

  • To assist in the set-up of events, meetings, training and any other occasions.

  • To maintain Health and Safety precautions in all working areas and to comply with good practice, policies and procedures, in particular, COSHH, Risk Assessments, Electricity at Work, Safe Systems at Work, Manual Handling and safe use of equipment.

  • To attend training as appropriate and to keep all necessary skills up to date.

  • Maintain operations stores, manage stock of equipment, and to order consumables.

  • Ensure the upkeep of all plantrooms and back of housework areas to a high standard of cleanliness, reporting any non-compliance to the Facilities Manager or the Head of Building Operations.

  • Ensure familiarity with the Building Management System (BMS) and the monitoring of electricity, water and environmental conditions, liaising with the Facilities and Exhibitions department heads as appropriate.

  • Undertake key role as a Fire Marshall during evacuations and provide technical support in investigating.

  • Undertake duties as a weekend on call keyholder for the building, reporting issues to DCC – out of hours staff when appropriate.

  • Respond to callout requests and liaise with Dundee City Council as appropriate.

  • Respond to callout requests as per an ad-hoc on-call rota.

  • Liase with and monitor contractors when they are onsite and collage a summary of visit.

  • Assist with the maintenance and management of alarm and key systems.

  • To be security conscious and alert, ensuring in depth knowledge and co-operation with all museum security procedures.

  • Any other duties that may be reasonably requested by the Facilities Manager or Head of Building Operations / Duty Manager.

Person specification

Essential

  • Experience of working within a public building.

  • Practical abilities, including hands-on skills such as painting, basic carpentry, and competence with tools.

  • Experience with AV and technical equipment.

  • Strong organizational, administrative and communication skills.

  • Lead by example with a positive, enthusiastic and proactive approach.

  • The ability to act with tact and diplomacy with individuals from a variety of situations and backgrounds.

  • Experience of using Microsoft Word, Excel, PowerPoint and e-mail to intermediate office standards.

  • Practical awareness of health and safety.

Desirable

  • Trade background - (Painting and decorating or joinery).

  • Experience of working in a museum or visitor attraction.

  • IOSH working safely (or similar).

  • Knowledge of first aid.

This is a part-time position, working hours will be 30 per week, 4 days from 7, including a variety of shift timings and occasional weekend work from our museum in Dundee.
