Role profile
An exciting opportunity has arisen to join V&A Dundee’s Partnerships and Philanthropy (P&P) department, supporting the delivery of our membership programme and the administration of major events. This role plays a vital part in ensuring an excellent experience for our members and supporters, working collaboratively across teams to support income generation, customer service, and the smooth running of high-profile events such as exhibition openings.
The purpose of the post is to support the P&P department in the administration of V&A Dundee’s membership programme and major events.
Working with the Philanthropy Officer, you will be responsible for providing excellent customer service to our members by email and phone whilst contributing to a range of activities to enable the organisation to maximise membership revenue (including supporting sales, data processing and administrative operations such as membership fulfilment and mailings).
You will also work with the Director of P&P and the Partnerships Officer to facilitate the administration of large-scale events, such as exhibition openings, with specific responsibly for data management, activity planners and liaising with other departments on logistics.
Duties and Responsibilities
Fulfilment of V&A Dundee Membership and Corporate Membership applications and mailings (i.e. sending out Members cards etc) whilst ensuring sufficient stocks of cards and other fulfilment materials
Support the development of Membership through sales, upsell and event opportunities
Work with colleagues in other departments (including Visitor Operations, Audiences & Media) to ensure timely completion of tasks to maximise Membership revenue
Provide outstanding customer service, answering Member and invitee queries via email and phone
Manage and update the Membership fulfilment tracker and process raffle prize requests
Collaborating with the team in managing and maintaining records as part of the day-to-day CRM system (including further data related to events)
Assist the Partnerships Officer with Corporate Member enquiries and Corporate Member data processing as required
Liaise with V&A South Kensington (and other V&A venues) Membership enquiries team
Support the Partnerships Officer with planning and delivery of events, including the drafting and updating of event activity plans
Work with other departments, including A&M and Ops to support the planning of events
Any other duties as required by the Director of Philanthropy & Partnership
Person specification
Essential
Experience in a relevant environment (marketing, charity, fundraising, etc)
Processes and procedures for event development and delivery
Principles relating to charitable giving
Relevant legislation (GDPR, TPS, MPS, FoI) relating to use of data
Degree or equivalent qualification
Events delivery experience
Excellent customer service skills
Able to work efficiently with data
Numerical skills to facilitate working with financial data relating to Membership
Excellent planning and organisational skills; prioritising, managing reactive work, balancing multiple requirements and adapting to unexpected situations
Administration skills to ensure efficient processing of applications
Self-motivated but with ability to work as part of a team
Events and risk assessments training
Excellent skills in MS Office, Excel and Outlook and handling of modern office practices and procedures
Desirable
Working with CRM systems (preferably Spektrix) in a customer-oriented capacity to fulfil specific operational needs
Managing large volumes of data to carry out mailings and invitations
Experience of delivering events in a commercial venue
Fulfilling customer service role in externally-facing environment, at events and in response to phone and mail enquiries

This is a full-time position, working 37.5 hours per week working in a hybrid flexible environment with a mixture of home working and working from our museum in Dundee.
